Position Overview
The Grant Manager and Administrative Volunteer supports AMSS Clinic’s grant administration and daily office operations. Responsibilities include researching funding opportunities, assisting with grant applications, tracking deadlines and deliverables, organizing supporting documentation, monitoring grant-funded activities and expenses, and helping prepare progress and final reports. The volunteer also assists with data entry, recordkeeping, correspondence, scheduling, volunteer coordination, and communication with staff, healthcare providers, funders, and community partners. This role helps ensure grant requirements are completed accurately and on time while strengthening the clinic’s ability to provide free healthcare services to uninsured and underserved patients. The volunteer works under the supervision of the Executive Director and must follow all clinic confidentiality, HIPAA, financial-control, and grant-compliance policies.

Key Responsibilities
Research grant opportunities aligned with AMSS Clinic’s mission and programs. Assist with preparing and submitting grant applications, proposals, budgets, and supporting documents. Maintain a grant calendar and track application deadlines, reporting dates, deliverables, and renewal opportunities. Monitor grant-funded activities and expenditures in coordination with clinic leadership and accounting personnel. Collect program data, service statistics, invoices, receipts, and other required documentation. Prepare grant progress reports, final reports, and funder correspondence. Maintain accurate and organized electronic and physical grant records. Ensure grant activities comply with funder requirements, approved budgets, and clinic policies. Coordinate with staff, volunteers, healthcare providers, community partners, and funders. Assist with administrative duties, including data entry, scheduling, filing, correspondence, and document preparation. Protect confidential patient, personnel, and financial information and follow HIPAA requirements. Perform other grant-related and administrative duties assigned by the Executive Director or designated supervisor.

Qualifications
Bachelor’s degree in healthcare administration, public health, business administration, nonprofit management, finance, or a related field preferred. Experience with grant research, proposal writing, grant reporting, nonprofit administration, or office management preferred. Strong written and verbal communication skills. Excellent organizational, time-management, and attention-to-detail skills. Ability to manage multiple deadlines and maintain accurate records. Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, and online grant portals. Basic understanding of grant budgets, expense documentation, and program reporting. Ability to collect, organize, and summarize program data and service statistics. Ability to work independently and collaboratively with staff, volunteers, providers, funders, and community partners. Commitment to serving uninsured and underserved communities. Ability to maintain confidentiality and comply with HIPAA, clinic policies, and grant requirements. Prior nonprofit or healthcare experience is preferred but not required.
